Studio Management Platform

Case Study · Fitness · 360 Management Platform

A day a week of admin,
down to a day a month.

Moov Braga ran an entire studio on Google Calendar, paper and a few spreadsheets. Klevie replaced the patchwork with a single management platform, and the admin stopped eating the week.

The problem

A whole studio run
on tools that never met.

Class bookings lived in Google Calendar. Management lived on paper and in a few spreadsheets. Enrolment payments, insurance and billing reminders were handled by hand, and body assessments were on paper.

None of it talked to the rest, so the owner spent around eight hours a week just keeping the administration moving.

And things still slipped: a reminder not sent, an insurance detail out of date. The cost was not only the hours, it was the quiet risk of running a business on memory.

What kept going wrong

Around eight hours a week lost to administration alone

Bookings in one tool, money in another, assessments on paper

Payment reminders that depended on somebody remembering

Insurance and enrolment details that fell out of date without warning

No single view of a client across training, payments and history

What Klevie built

One platform
to run the studio end to end.

Klevie built a single 360 management platform. Training assignment, schedules, payments, reminders, assessments, pipeline, insurance and enrolment all sit in the same system, so one platform now holds what used to be spread across a calendar, paper and spreadsheets.

It is the operational-systems approach described in AI systems for business operations: take the work that eats a person's week and give it a system that does it. Billing itself stays outside the platform; the platform manages everything around it.

01
Automatic training assignment

The studio's annual training calendar goes in, and the platform assigns the right sessions to each client based on their goal and training type. This is the piece that removes the most manual planning.

02
Client schedules, sent automatically

Every client receives their own training schedule without anyone sending it.

03
One agenda for the manager

Every client, in a single view, instead of a calendar per person.

04
Payments and receivables

Managed in the platform with the invoice number recorded against each, so the money side stays current.

05
Automatic payment reminders

Reminders go out on their own, so nothing depends on someone remembering.

06
Assessments, pipeline and CRM

Body assessments moved off paper and onto each client's record, and new enquiries are tracked in one place instead of a notebook.

What did not change

The studio
still runs the studio.

The biggest hesitation was the calendar. Moov Braga relied on Google Calendar and trusted how it worked, so the platform's agenda had to behave at least as well as the one they were leaving. A management platform whose calendar feels worse than the free tool it replaced does not get used, however much else it does. So the agenda got real attention until it matched what they were used to.

The platform handles the administration, the scheduling, the reminders and the records, and the people running Moov Braga run the training and the relationships. The system took the repetitive work off their plate; the judgment about clients and training stays with them.

Where the line sits

The platform assigns training, sends schedules, tracks payments and issues the reminders on its own.

The studio runs the training and the relationship with each client.
